PURPOSE OF THE POSITION
Under the guidance of the Operations Officer, the position will contribute to support WHO/Country Office to address preventable maternal morbidity and mortality, through timely and effective administrative program support.
DESCRIPTION OF DUTIES
Under the overall guidance of the WHO Representative, and direct supervision of the Operations Officer r, the incumbent of the post is required to perform the following duties:
- Maintains financial records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other data for day-to-day transactions and reports
- Selects and enters data from a wide variety of documents verifying accuracy by checking sources, making necessary calculations and assuring inclusion of all relevant data
- Initiates correspondences to verify data, answers queries and obtain additional information on accounts and financial transactions, as required
- Prepares detailed cost estimates and participates in budget analysis and projections as required
- Monitoring budget allotments, establishing obligations, assignment of accounting codes, recording and reconciling financial transactions, and preparation of reports.
- Monitors the utilization of award budgets against expenditures, award distributions against approved project funding and PB allocation.
- Provide coordinating support in preparation of cluster related meetings and seminars.
- Assist with logistical arrangements as appropriate (i.e. meeting coordination, arrange note taking, coordinate preparation of minutes and reports, and arrange for translation/interpretation).
- Ensure proper administration of physical resources and office arrangement for team members including vehicle, office equipment, furniture and supplies and produce status report on a regular basis
- Provides admin support to the team members of the cluster including Processing of correspondences; Travel arrangements; Meeting arrangements; Processing of stationery requirements and its inventory
- Maintaining a filing system
- Perform any other related duties, including providing support to other areas of work, and the WHO Country Office, as assigned.
REQUIRED QUALIFICATIONS
Education
Essential: Completion of secondary education supplemented by a technical training in book-keeping, business or accounting
Desirable: University degree in Management /Accounting and Finance
Experience
Essential: At least 7 years’experience commensurate with the duties of the post.
Desirable: Previous relevant working experience in the UN.
Use of language skills
Essential: Excellent knowledge of English
Desirable: knowledge of French is an asset
Skills
Must be computer literate and familiar with MS Windows applications for word, spreadsheet and data processing
